Privacy policy

This policy explains what information Property Sentinel collects, how we use it, and the choices you have. We keep it short on purpose — we collect little, we sell nothing.

1. Who we are

Property Sentinel is operated by City Logical LLC, an Illinois limited liability company based in Chicago (“Property Sentinel”, “we”, “us”). You can reach us any time at jim@propertysentinel.io.

2. Scope

This policy covers propertysentinel.io and the related services we provide through it, including property reports, monitoring alerts, and email digests. It does not cover third-party sites we link to, such as government data portals.

3. Information we collect

  • Account information. When you create an account, our authentication provider collects your name, email address, and sign-in credentials. We never see or store your password. You can also add an organization, phone number, and ZIP code to your profile.
  • Payment information. Subscriptions and report purchases are processed by Stripe. Your card number goes directly to Stripe; we never see or store it. We keep only what we need to manage your subscription — plan, status, and billing references.
  • Property activity. The addresses you search, the reports you unlock, the properties you save and monitor, and your alert preferences.
  • Usage and device data. Standard web logs and analytics — browser type, device, pages visited, and approximate location derived from IP address — collected through our hosting and analytics providers.
  • Files you upload. If you import a rent roll or similar spreadsheet, we process the file to read its contents into your portfolio. Part of that processing is automated and runs through a third-party service. Upload only what you are entitled to share with us.
  • Communications. Messages you send us, including contact-form submissions and email replies.

4. Public records data

The property information displayed on Property Sentinel — 311 service requests, building permits and violations, assessments, deeds, and similar records — is aggregated from public government sources, primarily the City of Chicago and Cook County. That data describes properties, not our users. We do not create or alter the underlying records, and this policy does not restrict information that is already a matter of public record.

5. How we use information

  • Providing the service: reports, dashboards, and the monitoring alerts you request
  • Processing payments and managing subscriptions
  • Sending transactional email — alerts, digests, and account notices
  • Responding to support requests
  • Understanding usage so we can improve the product
  • Preventing fraud and abuse, and complying with legal obligations

6. Cookies

We use cookies for three things: keeping you signed in (session cookies set by our authentication provider), remembering your recent address searches so we can offer them back to you, and basic analytics. We do not use advertising cookies and we do not track you across other sites. You can control cookies through your browser settings; blocking essential cookies will prevent sign-in from working.

7. Service providers

We rely on a small set of vendors to operate the service: authentication and account management, payment processing, transactional email delivery, cloud hosting and data storage, product analytics, mapping, and address lookup. Each receives only the information it needs to perform its function. Two are worth naming because your browser talks to them directly:

  • Stripe processes payments. Your card details go to Stripe and never pass through our systems.
  • Google powers address autocomplete. What you type into an address box is sent to Google to generate suggestions, and is handled under Google’s privacy policy.

A current list of the vendors we use is available on request.

8. How we share information

We do not sell your personal information, and we do not share your searches, saved properties, or account activity with advertisers or data brokers. We share personal information only with the service providers listed above, when required by law or legal process, or as part of a business transfer such as a merger or acquisition (in which case this policy would continue to apply to information collected under it).

9. Data retention

We keep account information for as long as your account exists, and billing records for as long as tax and accounting rules require. If you delete your account, we delete or de-identify the personal information associated with it within a reasonable period, except what we must retain for legal compliance.

10. Security

All traffic is encrypted in transit, credentials are handled by our authentication provider rather than stored by us, and payment details never touch our servers. No system is perfectly secure, but we design ours so that a breach of our systems would expose as little as possible.

11. Your choices and rights

  • You can update your account details at any time from your profile.
  • You can turn off alerts and email digests, or change which activity triggers them, in your dashboard settings. Email us and we will stop any non-essential mail for you.
  • You can request a copy of the personal information we hold about you, ask us to correct it, or ask us to delete your account and its data by emailing jim@propertysentinel.io.

12. Children

Property Sentinel is a professional tool and is not directed to anyone under 18. We do not knowingly collect personal information from children.

13. Changes to this policy

If we make material changes, we will update the date at the top of this page and, for significant changes, notify account holders by email. Continued use of the service after a change takes effect means you accept the updated policy.

14. Contact
